How Vexvon collects, uses, stores and protects personal data.

This Privacy Policy explains how VEXVON LLC (“Vexvon”, “we”, “us” or “our”) processes personal data when businesses and their authorized users access vexvon.com, use the Vexvon platform, communicate with us, or use Vexvon-powered AI calling, messaging, chatbot, analytics and related services.
Vexvon is primarily a business-to-business service. Depending on the context, Vexvon may act as a data controller for information relating to its own customers, website visitors and business contacts, and as a data processor/service provider when processing personal data on behalf of a business customer.
1. Scope
This Policy applies to the Vexvon website, dashboard, APIs, AI voice and call-center functionality, outbound telesales functionality, website chat, supported messaging and social-channel integrations, analytics, support and other services that reference this Policy.
2. Information we process
Account and business information:
- Name, business name, job title and business contact details.
- Account identifiers, login information and account settings.
- Billing, invoice and transaction-related information where applicable.
- Communications with Vexvon, including support requests and commercial correspondence.
2.1 Customer-provided data
Business customers may upload, connect, transmit or otherwise make data available to Vexvon. Depending on the configuration, this may include:
- Customer or lead names, telephone numbers, email addresses and other contact details.
- Contact lists, CRM data, spreadsheets and customer databases.
- Documents, website content, FAQs, product or service information and other knowledge sources.
- Conversation instructions, prompts, scenarios, campaign settings, tags, statuses and custom fields.
- Messages and other content received through connected communication channels.
2.2 Voice and conversation data
- Call audio and recordings where recording is enabled.
- Call transcripts and message histories.
- Conversation metadata such as date, time, duration, direction, channel and technical identifiers.
- AI-generated summaries, classifications, extracted fields, tags, statuses and call outcomes.
- Information voluntarily disclosed by an individual during a call or conversation.
2.3 Website and technical data
- IP address, device, browser and operating-system information.
- Log data, security events, session information and diagnostic information.
- Pages or features accessed and interactions with our website or platform.
- Cookie or similar-technology information where such technologies are used.
3. Why we process information
- Provide, configure, operate and support the Vexvon services.
- Conduct inbound or outbound AI-assisted calls and conversations as instructed by the customer.
- Answer questions using customer-approved knowledge and instructions.
- Create transcripts, summaries, classifications, tags, statuses and analytics.
- Connect Vexvon with communication channels, telephony services and customer-selected integrations.
- Authenticate users, protect accounts, detect abuse and maintain service security.
- Provide support, troubleshoot incidents and improve reliability.
- Administer billing, contracts and business relationships.
- Comply with applicable legal obligations and establish, exercise or defend legal claims.
4. Customer instructions and roles
When a business customer determines whom to contact, what information to upload, which channels to connect, what an AI agent should say, whether a conversation should be recorded, and the purposes for which personal data is processed, that customer generally determines the purpose of the processing. In those circumstances, Vexvon processes the relevant data on the customer's behalf and according to its documented instructions, subject to applicable law.
Customers are responsible for having an appropriate legal basis, permission or consent where required for the personal data they provide to Vexvon and for their use of calling, messaging, recording and marketing functionality.
5. AI processing and model training
Vexvon uses artificial intelligence and automated systems to provide requested functionality, including understanding messages or speech, generating responses, transcribing conversations, extracting information, summarizing interactions and classifying outcomes.
Vexvon does not use customer-uploaded databases, customer conversations, call recordings, transcripts or message content to train or fine-tune Vexvon shared AI models.
To provide AI functionality, limited data may be processed by third-party technology providers acting as service providers or subprocessors. Such processing is used to provide the requested service and is subject to the applicable provider arrangements and Vexvon's technical and organizational controls.
6. Service providers and subprocessors
Vexvon may use carefully selected service providers where necessary to operate the service. Categories may include cloud infrastructure and hosting providers, AI/model providers, telephony and SIP providers, communications platforms, content-delivery and security providers, email/support providers and payment processors.
Depending on the features a customer enables, data may pass through providers such as cloud infrastructure located in Germany, AI technology providers, Meta services and telephony/SIP providers. Vexvon does not sell customer personal data.
A current list of material subprocessors may be made available by Vexvon on request or through a dedicated subprocessor notice.
7. International processing
Vexvon's primary production infrastructure is hosted in Nuremberg, Germany. Some connected services or subprocessors may process data in other countries. Where required by applicable data-protection law, Vexvon will use appropriate contractual or other lawful safeguards for international transfers.
8. Data retention
Customer conversation data, including recordings, transcripts, messages, summaries, extracted fields, statuses and tags, may be retained in the customer's account without a fixed automatic expiration period unless the customer or an authorized user deletes the data or requests deletion, subject to technical, contractual and legal requirements.
Account, billing, security, audit or legal records may be retained for longer where reasonably necessary to comply with law, resolve disputes, prevent abuse or enforce agreements. Deletion from active systems may not result in immediate deletion from protected backups; backup copies are removed or overwritten according to the applicable backup lifecycle.
9. Call recording and AI disclosure
Vexvon provides configurable technology. The wording of call scenarios, notices, consent statements and AI disclosures is configured by the business customer. Vexvon does not assume that a single disclosure is legally sufficient in every jurisdiction.
Customers must determine whether applicable law requires notice, consent, identification of an automated or AI agent, recording disclosure, opt-out mechanisms, calling-hour restrictions, do-not-call screening or other safeguards, and must configure their use of Vexvon accordingly.
10. Security
Vexvon uses technical and organizational measures designed to protect information against unauthorized access, loss, alteration and disclosure. These include encrypted HTTPS/TLS connections, access controls, protected infrastructure, backups, monitoring and operational security measures. No online service can guarantee absolute security.
11. Data breaches and incidents
Where Vexvon becomes aware of a security incident affecting customer data, Vexvon will investigate and take reasonable containment and remediation steps. Where required by contract or applicable law, affected customers will be notified without undue delay. Vexvon's standard customer agreement currently provides for notification of a qualifying data leak within 24 hours.
12. Individual rights
Depending on applicable law and location, individuals may have rights to request access to, correction of, deletion of, restriction of, objection to, or portability of their personal data, and to withdraw consent where processing is based on consent.
Where Vexvon processes information solely on behalf of a business customer, requests concerning that information should normally be directed to that customer. Vexvon will reasonably assist customers with valid requests where required.
13. Children
Vexvon is designed for business use and is not directed to children. Business account holders must be legally capable of entering into a binding agreement. Customers must not intentionally use Vexvon to collect children's personal data in violation of applicable law.
14. Sensitive information
Customers should not use Vexvon to process payment-card credentials, passwords, government authentication secrets, health information or other highly sensitive or specially regulated information unless the use has been expressly agreed with Vexvon and appropriate legal and technical safeguards are in place.
15. Changes to this policy
We may update this Privacy Policy to reflect changes to our services, technology, legal obligations or business practices. We will publish the revised version with an updated effective date and provide additional notice where required.
