How your customer data is protected with us

Vexvon talks to your customers on your behalf. That means we process numbers, call recordings and messages. Below is how that happens, who has access, and what you are entitled to ask for.

The ground rules

These rules don't change.

These are not marketing promises — they are how the system works.

The data itself

  • Customer data is used only to run the service for you.
  • Your data is never sold to third parties or shared for advertising.
  • Your data is kept separate from other customers' accounts.
  • All transfer goes over an encrypted channel (HTTPS/TLS).
  • Uploaded databases, conversations, recordings and transcripts are not used to train Vexvon's shared AI models.

Who has access

  • Access rights are managed per user and per role — not every member of staff sees everything.
  • The Vexvon team accesses your data only when technical support genuinely requires it.
  • When a user is removed from your account, their access closes immediately.
  • Actions in your account are logged, so what changed and when is always known.
The data's journey

From a number entering the system to its deletion.

Every step Vexvon takes with customer data.

1. It arrives

You upload an Excel file or connect your systems. Only the fields the campaign needs are used.

2. It's used

Vexvon calls or answers a message. The conversation record and the outcome are written to that customer's record.

3. It's stored

Recordings and transcripts are stored in your account. The retention period is set by contract.

4. It's deleted

On your request the data is exported or deleted. When the service ends, it is deleted after the agreed period.

Your rights

The data is yours; we only hold it.

You can ask for any of these at any time — at no extra charge.

  • Export all customer data in your account
  • Delete a specific customer's record and call recording
  • Change the access rights of users in your account
  • Decide whether calls are recorded at all
  • Set in the contract what data is kept and for how long
  • Require all data to be deleted when the service ends
Paperwork

If your legal team has questions, we answer them in writing.

In larger companies, adopting a new system is not only a technical decision. So we complete your security questionnaire, sign a non-disclosure agreement (NDA), and put the data-processing terms into the contract.

Our primary production infrastructure is hosted in Nuremberg, Germany. Our standard B2B agreement commits us to notifying you of a qualifying data leak within 24 hours. The current list of technical providers we use is available in writing on request.

We currently make no claim to international certifications such as SOC 2 or ISO 27001. That is exactly why we give concrete answers to security questions rather than general statements.
